Draft Invoices

During the invoice generation, the system will automatically flag in an invoice as “draft” if it matches the following criteria, to enable closer investigation, before sending the invoice to the customer. Both criteria must be matched in order for it be to a draft.

Call Usage Change

If the usage has changed by over 20%

Call Spend

If either the current invoice or the previous invoice had over $50 ex tax in usage

Custom Draft Settings

You have the ability to set your own rules about what you believe should be flagged as a draft invoice. The settings are only available at a department/business level. They are edited in the department settings in the “Invoice” Section. Here is a description of the items

Call Change Percentage

a whole number of percentage e.g. 20 = 20% of the billed usage amount from the previous invoice to the current

Min Call Spend

This sets the value of ex tax call spend the threshold that both invoices ( old and current ) must reach in order to order for the call change percentage to apply.

This is particularly useful as a small customer can easily change by over 20% if they only bill a small amount e.g. $20 ( only takes 1 international call to flag it )

Invoice Total Percentage Change

a whole number of percentage e.g. 20 = 20% of the invoice total, this excludes any credits applied to the invoice, however includes all other items ( misc charges, service fees and service usage )

Min Total Invoice

This sets the value of the threshold that both invoices ( old and current ) must reach in order to order for the invoice total percentage to apply.

This is useful to have at 1 as that way it won’t identify every “ended” customer, or can be used to check that too.

No Draft Mode

If you want to disable draft mode. Set this option to 1
