Automated Payments - Direct Debit and/or Credit Card

Overview

In PracBill you can have a primary and backup payment method for a customer.

Department Setup

To ensure this is going to work, edit your Department Settings and please choose your default payment gateway provider for direct debit and credit card. Select both even if you don’t use one or the other.

In the Invoice Section Set “Auto Payments” to checked.

Auto Payment Notifications

All

This will send a notification to the customer if the payment attempted was successful or failed

No Notifications

As the name suggests will not send anything out to the customer

Failed Only

This is send a notification to the customer if a payment fails.

Customer Setup

In the customer, set the Payment Method to either “Automated”, “Credit Card” or “Direct Debit.” The names are interchangeable for this purpose.

Payment Methods

Once the customer is set to the correct payment method. They need to have a primary and/or a backup payment method set. This allows a customer to have a backup option, which comes into play if the primary method fails, or if they deactivated a previous primary card, leaving only a backup method.

Pausing automated payments

There is no way to set a pause, the only way to prevent this, is to put a customer into “Credit Management” which will prevent automatic payments, or change their payment method. This does not impact the primary and backup payment methods, so when they are back on automated payments, the previous methods will work as before.

Payment Logic

On the invoice due date, the system gets all the unpaid invoices, it then checks the customer for the correct payment method settings and attempts to charge the whole account balance.

Notes

Account Balance

This could include any recently issued invoices that are not yet due.

Invoice Due and Paid Invoice

If the customer has an outstanding balance but the current invoice has been paid, then it will not attempt to charge the outstanding amount on the latest invoice due date, as it works off the unpaid invoice.
